Front Desk Coordinator [Singapore]


 

Job Summary: Under general supervision, this position coordinates front office activities for the clinic; including, but not limited to: answering telephones, perform follow up calls/, greeting visitors, typing, word processing, mail, scheduling consultations, filing, receiving payment, taking photos and preparing patients for consultations to maximise sales. Further essential elements of this role are to provide both pre and post treatment care, undertake and carry out non-medical treatments and promote the clinic and its activities.

Role Specific Duties and Responsibilities:

  • Receives telephone calls; screens and directs individuals to the appropriate staff member
  • Takes accurate and detailed messages
  • Schedules consultations accurately and timely.
  • Assists with opening and closing of clinic, as scheduled.
  • Follows all procedures.
  • Demonstrates excellent communication skills and customer service when interacting with clients, co-workers management. vendors, etc.
  • Actively work to enhance client retention, meet retail performance requirements and consistently maintain and update client records (manually or through automation:
    • Greets visitors when arriving to / departing from clinic
    • Smile and greet each client by name
    • Engage client in conversation
    • Ensures clients are checked in properly
    • Know how to redeem packages; handle all payments and charges
    • Understand Loyalty Point System and Netsuite transaction system
    • Make sure clients are seen on time - If client is late, he/she need to be rescheduled
    • Checking out clients promptly and accurately
    • Inform them of referral program
    • Share info on skin care products and monthly specials and other Specials as advised.
    • Ask for Referrals: The best thing to do is simply say, "Patient Name, it has been a pleasure serving you today. If you have any friends who are half as nice as you are, we would really love to see them. Here's a business card for you and two for any of your friends."
  • Evaluate client needs and expectations to determine the most appropriate skin care products
  • Personal attention to meet client expectation
  • Paperwork
  • Make sure all informed consents for the procedure being done are signed prior to performing service.
